Stessa is accounting software built for rental properties. QuickBooks Online is general small-business accounting software that many landlords and their accountants already know.
For most landlords with a handful of rentals, Stessa is the better fit: it's free to start, tracks income and expenses by property, and has Schedule E reports on its $12-a-month Manage plan. QuickBooks Online makes more sense when your accountant works in it or the same books cover other business income.
Best for: small landlords choosing rental bookkeeping software, or deciding whether their properties belong in the QuickBooks file they already keep.
Everything below comes from each company's pricing and help pages, checked October 28, 2026. We haven't tested either product hands-on.
Quick verdict
- Pick Stessa if you own a handful of rentals, want property-level tracking out of the box, and want rent collection and screening in the same app. The free Essentials plan covers unlimited properties; Schedule E reports are on Manage, at $12 a month billed annually. https://www.stessa.com/
- Pick QuickBooks Online if your accountant works in QuickBooks, you have other business income to track in the same books, or you need features like bill pay, invoicing and multiple users. Expect to pay for a paid plan; the free plan connects only one bank and doesn't allow accountant access. https://quickbooks.intuit.com/

Built for rentals vs built for any business
Stessa is organized around properties. Its pricing page lists automatic bank feeds, income and expense tracking with receipt scanning, and Schedule E reports (on Manage and Pro). Its plans also include rent collection, tenant screening and listings that can syndicate to Zillow, Trulia and HotPads.
QuickBooks Online is organized around a business. Its pricing page lists income and expense tracking, automated categorization, P&L and balance sheet reports, invoicing, bill pay and accountant access. It doesn't mention rental properties or Schedule E. Plus ($140 a month) adds class and location tracking (up to 40) and budgets. Those are the tools you'd likely use to separate income and expenses by property. Whether that setup gives you what you need at tax time is a question for your accountant; we didn't verify a Schedule E report in QuickBooks Online for this guide.
Cost by year (landlord subscription only)
| Plan | Per year |
|---|---|
| Stessa Essentials | $0 |
| Stessa Manage (annual) | $144 ($12 × 12) |
| Stessa Pro (annual) | $336 ($28 × 12) |
| QuickBooks Free | $0 |
| QuickBooks Simple Start | $456 at the $38 list price ($38 × 12), less any promotion |
| QuickBooks Plus | $1,680 ($140 × 12) |
For a landlord who wants Schedule E reports in the tool, Stessa Manage at $144 a year is the cheapest option here.
Rent collection and screening
Stessa builds both in:
- Landlords pay no rent-collection fees.
- Tenant ACH into a Stessa Cash Management account is free; into your own outside bank it's up to $2. Cards cost 3%.
- Payouts take up to 5 business days.
- Screening runs through RentPrep: $49 for credit plus background, or $29 for credit only.
QuickBooks Online isn't a rent-collection tool in the landlord sense. Its pricing page lists invoicing and payments, but not tenant portals, rent autopay, late fees or screening. We didn't verify QuickBooks payment-processing fees for this guide.
Where each falls short
Stessa:
- Schedule E reports aren't on the free plan.
- The free plan includes 5 receipt scans a month.
- State lease templates cost $15 each on the free plan.
- Rent is cheapest for tenants only when it goes into a Stessa account (banking through Thread Bank).
QuickBooks Online:
- It isn't rental-specific, so you'll set up property tracking yourself.
- The free plan has one user, one bank connection and no accountant access, and it doesn't include the mobile app or third-party integrations.
- Paid plans cost more than rental-specific tools at small portfolio sizes.

Which to choose
- 1–5 units, no accountant yet: Stessa Essentials. Upgrade to Manage when you want the Schedule E report.
- Your preparer asks for a QuickBooks file: QuickBooks Online, on a paid plan so they can get accountant access. Ask how they want properties tracked; Plus adds class and location tracking.
- Rentals plus a separate business: QuickBooks keeps everything in one ledger. Stessa is rental-only.
- You want rent collection in the same tool: Stessa, which includes rent collection, screening and listings.
- You want both: some landlords keep property-level tracking in a rental tool and give their accountant a summary. That's double entry, so ask your accountant before you start.
How we checked
On October 28, 2026, we read Stessa's pricing page and its help-center articles on rent payments and screening, and QuickBooks Online's pricing page. Yearly costs are our arithmetic from list prices, before any promotion. We didn't verify whether QuickBooks Online produces a Schedule E report, or its payment-processing fees. We haven't used either product with our own rentals, and neither company paid for this comparison. This isn't tax advice; ask your accountant how they want your rental books set up.
